Discord Recruitment to Voice Channel: What Happens Automatically
When a recruitment on Discord fills up, every member gets a DM, and the recruitment message itself gains a menu for gathering everyone into a voice channel. From that point on, nothing needs to happen in chat: creating the channel, pulling in members, and sharing game IDs all happen from the recruitment message.
What happens the moment your recruitment fills up
Say you run /invoke and set the number of members to 4. That number doesn't include the host, so the actual cap is 5 people once the host is counted in. Once 4 members join and the party reaches 5, the recruitment completes automatically.
At that moment, everyone who joined receives a DM titled "Recruitment Complete Notification." It reads: Recruitment "(title)" you participated in is now full! followed by Time to squad up and start., along with a link back to the recruitment message. A DM is easy to notice even in a busy server where the original message might get buried in chat.
At the same time, a select menu of voice channel actions appears on the recruitment message. If a recruitment doesn't specify a member count, or the host clicks "Start Now" before it fills, the menu appears right away instead of waiting for completion. Everyone in the server can see the menu, but only the host can use it.
Create a voice channel straight from the recruitment message
The menu offers three ways to set up a channel:
- Create Dedicated VC: opens a new voice channel that only members can join and speak in
- Create Public VC: opens a new voice channel anyone can join
- Link Current VC: shows the voice channel the host is already in as this recruitment's channel
A dedicated VC keeps the call to just the party. A public VC works when spectators or other server members should be able to drop in. If the host is already sitting in a voice channel for casual chat, linking that channel skips creating a new one and uses it as-is.
Pull members from other voice channels into one
Continuing the example above: after creating a dedicated VC, a few members might still be sitting in a different voice channel. Selecting "Gather" moves this recruitment's members who are in other voice channels in the same server into the one the host is currently in.
Only members who are already connected to some voice channel at the moment "Gather" runs get moved. Anyone not in a voice channel stays where they are and doesn't receive a notification, so reaching them still means sending the recruitment link so they can join a channel on their own.
"Gather" requires the bot to have the Move Members permission. Without it, clicking the button does nothing and no error message appears, so it's worth confirming the bot's permissions ahead of time.
Voice channels clean up automatically when everyone leaves
A voice channel created through these actions takes its name from the recruitment title. Any part of the title wrapped in [] or <> is treated as a tag and stripped from the channel name automatically.
The host gets Manage Channel permission on that voice channel, so they can rename it or change other settings from the channel's Overview tab afterward. Once everyone leaves, the channel deletes itself, so there's no channel left over to clean up manually after each recruitment.
Game IDs show up automatically once people join
Joining a dedicated VC, or an Autoroom channel, posts the registered game IDs of everyone currently in the channel to that channel's built-in chat. The list updates automatically as members join and leave, so anyone who joins later still sees the current lineup.
Only IDs registered ahead of time with the /id command show up this way. Members who haven't registered appear with just their username, so servers that regularly trade friend codes or game IDs benefit from asking members to register in advance. What to set up before you need it
Using these voice channel actions requires the bot to have the Create Channel permission. If "Gather" is part of your workflow, grant Move Members as well.
Setting a category under the "Category for creating dedicated VCs" option in /config keeps every generated voice channel grouped together. Leave it unset and channels are created in the same category as the channel where the recruitment was posted.
