This policy describes how personal information is handled on this website (https://monvoke.xyz) and the Discord Bot "Monvoke" (collectively, "the Service").
1. Information We Collect
Website
- Discord authentication data: User ID, username, display name, avatar, and joined server information
- Payment information: Processed via Stripe (credit card details are not stored on our servers)
- Technical information: IP address, browser information, and access logs
Discord Bot
- Server ID, server name, and channel information
- User ID, username, and display name
- Server administrator information (for sending notifications)
- Recruitment content, participation history, and subscription status
- Server member count (for understanding service usage)
- Client language settings of slash command users (used for automatic display language switching)
* The Bot reads only the input of slash commands and posts made in recruitment-only channels designated by an administrator. In a recruitment-only channel, the content of a post is used to create a recruitment and the original post is then deleted. Conversation messages in any other channel are not read, collected, or stored.
2. Purpose of Use
- Identity verification and authentication
- Providing, operating, and improving the Service
- Payment processing (subscriptions, community support)
- Statistical analysis of service usage
- Responding to inquiries
- Sending important notifications (service changes, policy updates, etc.)
3. Disclosure to Third Parties
We do not share personal information with third parties except in the following cases:
- When the user has given consent
- When required by law
* Payment processing is handled directly by Stripe, and authentication by Discord, as part of their own services. We do not provide information to these companies from our Service.
4. Data Retention and Deletion
Retention Period
- Account information: Until account deletion
- Payment history: As required by law
- Access logs: 90 days
- Recruitment data: 24 hours (Free plan) / 7 days (Plus plan) from the start time; counted from creation time for recruitments without a scheduled start
Deletion
- When the Bot is removed from a Discord server, all collected data related to that server is deleted
- Upon user request, relevant data will be promptly deleted
5. Discord Bot Permissions
The Bot uses the following permissions:
- Sending and managing messages, sending Embeds
- Reading messages (slash command input and posts in recruitment-only channels)
- Creating and managing voice channels
- Sending direct messages (notification feature)
6. Cookies
Cookies are used for session management and security (CSRF protection). You can disable cookies in your browser settings, but some features may become unavailable.
7. Security
We implement encrypted communications (HTTPS/TLS), database access controls, and regular security updates.
8. Minors
This Service is intended for users aged 13 and older, in accordance with Discord's Terms of Service.
9. Disclaimer
We are not responsible for external linked services. While we strive for accuracy, we cannot be held liable for damages arising from the content provided.
